Vacancy for Receptionist (maternity cover)

Somerset House Trust is seeking a receptionist to join the Residents team with joint responsibility for the daily management of our main business receptions and internal meeting room hire. We are looking for someone with previous experience working within a multi-tenanted office building and with creative and arts organisations. You will work within the Residents team, responsible for managing the relationship of 135 organisations based at Somerset House, as well as working closely with Visitor Experience, contractors and wider Somerset House teams.


Main activities and responsibilities

  • Meet and greet upon arrival of all visitors / guests for the resident community and general public
  • Record and communicate arrival of visitors / guests directly to residents
  • Responsible for all internal meeting room bookings from enquiry to delivery, administering internal terms and conditions for room hire – ensuring they are signed and up to date
  • Manage West Wing and South Wing meeting rooms, ensuring clean and ready for all upcoming bookings
  • Responsible for filling out the Room Booking Register every month to invoice all resident bookings, and invoicing Makerversity meetings on an ad-hoc basis
  • Maintain and update resident information databases, including the Emergency Contact Lists
  • Communicate content of the cultural programme displayed across the site to visitors and guests who enquire
  • Undertake Fire Marshall duties
  • Maintain and update the West Wing Reception Manual to reflect any changes or new processes
  • Assist and provide support with ad-hoc tasks as and when required
